How to Prepare for a Business Meeting in China

Choose the decision the meeting should support

A meeting is more productive when everyone knows why it is taking place. Decide whether you want to understand a supplier's capabilities, discuss a product, resolve an order issue or explore a possible partnership. List the questions that would help you make the next decision. Avoid treating a friendly meeting as proof that a company or proposal has been verified.

Share the planned date, time zone, city or online platform, attendee names and roles, expected language, duration and any access requirements. Confirm the exact location and host contact in advance. If travel or entry requirements apply to you, check them through appropriate official or professional channels; meeting support does not determine those requirements.

  • Write one sentence describing the desired result of the meeting.
  • Rank agenda items so the most important questions are covered first.
  • Decide who on your side can make decisions and who only gathers information.

Prepare materials for accurate discussion

Send an agenda and product or project summary before the meeting. Use current drawings, photographs, sample references and quantities, with version numbers where possible. Define terms that may be interpreted differently, such as 'sample approved,' 'ready to ship' or 'exclusive.' If an interpreter or local meeting assistant is involved, share technical terms and company names early enough for preparation.

Decide what information is confidential and what may be recorded or photographed. Ask participants before recording a call or taking pictures. Keep sensitive documents limited to those needed for the discussion and use your own legal adviser for binding terms or intellectual-property arrangements.

  • Prepare a short bilingual terminology list for critical product features if useful.
  • Bring a current specification and mark any open decisions.
  • Identify documents you may request after the meeting.

Ask questions that produce testable answers

Work through capability, process, timing and responsibility rather than asking only for a general promise. For a product discussion, ask which specification the quotation assumes, who makes each component, what lead time depends on, how changes are approved and what evidence can be provided. For a dispute, ask participants to identify the specific order, event, proposed remedy and date for the next response.

During the meeting, separate facts shown in documents from statements made verbally. If an answer is unclear, restate it and ask for confirmation. It is reasonable to leave a question open and request a written response later. Do not assume silence or polite agreement means a technical or commercial point has been accepted.

  • Ask who owns each action after the meeting.
  • Record any figures with their units, currency and assumptions.
  • Confirm which points are proposals and which have been formally agreed.

Close with a shared record and next steps

Before ending, summarize decisions, unanswered questions, requested documents, responsible people and target response dates. Send written notes soon after and invite corrections. Notes help reduce misunderstandings, but they are not a substitute for a reviewed contract or formal order document. Keep copies of the agenda, materials and follow-up correspondence together.

If you need local coordination or language support, describe the meeting objective, participants, location, language needs and expected output when requesting Business Meeting Assistance. Ask which preparation, attendance, interpretation, notes and follow-up tasks are within the proposed scope. Any supplier or company checks should be separately defined rather than assumed to be part of meeting attendance.

  • Send a concise action list with owners and dates.
  • Flag points that still need verification or specialist review.
  • Schedule the next decision only after the necessary information arrives.
